About eBay postage labels

You don't need a special printer or adhesive labels for eBay postage labels - just print the label on normal A4 paper and tape it to the package.

  • If the service you're using offers tracking, the tracking information appears automatically in My eBay for both you and the buyer. (Applies to Parcelforce Worldwide and Collect+ services. If you're using a tracked Royal Mail service, the tracking information will be added when you drop the item off, and you can enter it in My eBay.)

Printing a postage label

  1. Go to the Sold section of My eBay and click Print postage label next to your item.

  2. Review the details on the Print postage label page:
    • Check the buyer's user ID, transaction details and amount paid for postage 
    • Check the buyer's delivery address. (You can edit it if your buyer has asked you to send the item to an alternative address.)
    • Check the date your buyer expects to receive the item. If the postal service selected won't deliver the item on time, select a faster service so you can meet your buyer's expectations.
  3. Weigh your packaged item so you're buying enough postage. Enter the weight in kilograms (so: 700 grams is 0.7 kilograms) and click Calculate.

    Tip: Check the type of package. Most items will be parcel-sized, but some will meet Royal Mail's dimensions for letter or large letter, so postage may be less expensive.

  4. If you need to choose a different delivery service, click Compare delivery services. Choose the service you want and click Save.

  5. Type a note to your buyer in the Add message to buyer email box. This will be included in the email that eBay sends to your buyer letting them know you're preparing the item for dispatch. (The email won't include the amount you spent on your postage label.)

  6. Click Purchase postage to pay for your postage label with PayPal. 

    Tip: To print postage labels more quickly, link your PayPal account to eBay postage labels. Tick the box to set up a billing agreement to pay for labels from your PayPal account.

  7. Click Print postage label to create and print your postage labels. Your label should open in a new window. (Click the printer icon, or go to File and then Print to send your label to your printer.) 

    Tip: If your browser isn't set up to open Adobe Acrobat Reader or another PDF viewer automatically, save your label to your PC, then open it in your PDF viewer to print it. 

  8. Drop your item off.
    • If you're using a non-tracked Royal Mail service, just drop the item into a post box.
    • If you're using a Royal Mail service with tracking, or a Parcelforce Worldwide, you'll need to drop your item off at a Post Office. Find your nearest Post Office 
    • For Collect+ services, you'll need to drop your item off at a Collect+ shop. There are more than 5,000 shops in the UK, many of which are open at convenient, extended hours. Find your nearest Collect+ outlet

Reprinting or cancelling a postage label

  • Reprinting a label

If your label doesn't print properly, you can print it again. Click Reprint label from the Print postage label screen, or go back to My eBay and click Print another label.

  • Cancelling a label

You can cancel your postage label at any time up to 7 days after purchase. Click Cancel label from the Print postage label screen. The cost of the label will be refunded to your PayPal account within 21 days.

  • Requesting a refund

If you don't use a label you've bought, you can request a refund.

  1. Go to My eBay and click Sell on the left side of the page.
  2. Click Postage Labels.
  3. Find the label and select Refund from the Actions column.

When you request the refund you need to specify a reason (postage destroyed, changed mind, postage lost, label did not print) which the postal service will assess. If the label isn't used, the refund will be processed within 19 days and the funds will be returned to the same PayPal account you used to pay for the label.

Frequently asked questions about eBay postage labels

 

How do I pay for my postage label?

You can pay for your postage label with PayPal. You'll be invited to link your PayPal account and eBay postage labels so that you can pay for future labels automatically without having to log in to your PayPal account every time. Creating this Billing agreement is free and you can cancel it at any time.

If you'd rather not set up a billing agreement, you can simply pay for each label individually, by logging into PayPal when prompted each time.

 

How do I cancel the billing agreement for postage labels?

  1. Log in to your PayPal account and go to Profile/My Money
  2. Under My Preapproved Payments you'll see the billing agreement, for eBay Intl AG
  3. Click on it and you'll find a link to cancel the agreement.
 

Can I print a certificate of posting on eBay?

Currently you can't print a certificate of posting on eBay. You can get a certificate of posting from the Post Office as a till receipt when you drop off your item.

Note: Although a certificate of posting is useful to ensure that you can claim compensation from Royal Mail in case of loss or damage of your item, it's not sufficient evidence in order to be protected when a buyer claims not having received the item. Only proof of delivery is accepted under the eBay Money Back guarantee policy. You can get proof of delivery for items sent by Royal Mail by using a recorded service.

 

Can I print international labels and customs forms on eBay?

You can't currently use eBay postage labels for international delivery. However, if you're sending an item overseas, you'll be directed to PayPal Postage Label which offers labels for international delivery services.

 

Can I use eBay postage labels for deliveries to the Channel Islands?

Since items sent to the Channel Islands (Jersey, Guernsey, Alderney, Herm and Sark) require customs declarations, these labels can't currently be printed on eBay.

 

Can I print more than one label for an order?

You can buy and print as many labels as you need for an order - for example, if the item you sold requires multiple packages or the buyer has bought more than one item from you and you want to combine the postage.

In My eBay - Sold, simply select Print postage label again and buy as many labels as you need.

 

Can I request a free parcel pickup for Parcelforce Worldwide services?

Collection by Parcelforce Worldwide is not currently available for labels purchased through eBay.

 

What compensation cover is provided in the event my item is lost or damaged?

The value of compensation cover is specific to each delivery service. You can see details of the compensation cover available for each service by clicking on Full Service Description from the Purchase and print your postage label screen.

Are there any kinds of item I can't send with an eBay postage label?

Each carrier has their own list of restricted items:

 

Will I get a receipt for my purchase of a postage label?

An email is automatically sent to you when you buy a label through eBay. The email confirms the price of the label and provides any tracking information if you are using a tracked service.

 

How do I get a VAT receipt for the purchase of a postage label?

None of the Royal Mail delivery services for which labels are offered via eBay are liable to VAT, so you won't need a VAT receipt.

Collect+ services are liable to VAT and Collect+ will email you a VAT receipt for your purchase automatically.

Parcelforce Worldwide services are liable to VAT. You can request a VAT receipt from Parcelforce Worldwide by sending an email to VAT@parcelforce.co.uk. Please include the tracking number of your parcel.

 

Is tracking information available for postage labels printed through eBay?

If you're posting with a service that offers tracking, both you and your buyer can monitor the status of the package. For Royal Mail services, the tracking number is provided on a further label which will be added to your parcel at the Post Office by staff. You'll be given a record of the tracking number and you can enter it for your buyer in My eBay.

 

Why is the service I've planned to use not suitable for my item?

Most delivery services have upper limits for weights and dimensions. Depending on the weight of the item some services may not be suitable for your item. Be careful not to enter a weight less than your item's true weight once packaged - if you underpay the postage, there's a likelihood that your buyer will need to pay a surcharge.

 

Why does the postage label include a return address?

A return address is the sender's own address - usually either the home address or company address. You're not obliged to include a return address when you post an item, but it's in your own interest. If your item can't be delivered for any reason, your return address will allow your postal service to send it back to you, so it won't be lost. For this reason, eBay postage labels always include a return address. This doesn't mean that you automatically accept returns.
